Privacy policy

Escape Quest Arena Inc. collects only the personal information it needs to run bookings and answer messages, keeps it for a defined period, and does not sell or rent it to anyone. This policy explains what that means in practice, in line with the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect and why

Booking requests. Name, email address, mobile number (optional), preferred room, date, time, number of players and any notes you add. We use these to confirm your booking, send the payment link, contact you about changes on the day and, if you told us about accessibility needs, to prepare the room. Payment card details are entered on our payment processor's page and never reach our servers.

Contact messages. Name, email and the content of your message, used only to reply to you.

Waivers. The name, signature and date of each player, collected on a tablet at check-in. For players under 18, the name and signature of the accompanying adult.

Camera footage. Each room is monitored by a game master during play so that hints can be given and safety maintained. The lounge and desk are also covered. Footage is not streamed anywhere and is not used for marketing.

Team photo. Taken only if you want one, emailed to the address on the booking, and then deleted from our device.

Website. This site sets no cookies and uses no analytics, advertising or tracking scripts. Our hosting provider records standard server logs (IP address, requested page, browser type) for security purposes.

How long we keep it

  • Booking records and invoices: 24 months after the game date, then deleted, except for the accounting records the Income Tax Act requires us to keep for seven years (amount, date, invoice number; no notes or messages).
  • Contact form messages: 12 months after the last reply.
  • Signed waivers: 24 months, or until any related claim is resolved.
  • Camera footage: 30 days, overwritten automatically, unless retained for an incident investigation or a lawful request.
  • Server logs: 90 days.

Who sees it

Our desk staff and game masters, for the purposes above. Two service providers process data on our behalf under contract: a payment processor (card payments) and an email provider (confirmations and replies). Both may store data outside Canada, including in the United States, where it may be subject to local law. We do not share personal information with anyone else unless the law requires it.

Your rights

You may ask what personal information we hold about you, ask for it to be corrected, or ask for it to be deleted where we have no legal reason to keep it. We answer within 30 days. Write to privacy@escapequestarena.com or to the Privacy Officer, Escape Quest Arena Inc., 212 Adelaide Street West, Unit 3, Toronto, ON M5H 1W7. If you are not satisfied with our response you may complain to the Office of the Privacy Commissioner of Canada.

Marketing

We only send marketing email to people who have ticked a box asking for it, in line with Canada's Anti-Spam Legislation, and every message carries an unsubscribe link that works within ten business days. Booking confirmations and replies to your messages are not marketing.

Changes

If this policy changes in a way that affects how your information is used, the new version is posted here with a new effective date, and people with upcoming bookings are told by email.
